Game Changers AI — Privacy Policy

1. Introduction

Game Changers AI builds and operates AI assistants. These include a sales coaching platform that helps sales representatives prepare for meetings, track activity and engage with prospects, and assistants published inside ChatGPT that answer questions from material a company has chosen to make available to them. Different assistants collect different things. Where a section below applies to only one of them, it says so.

2. Privacy and Data Use

Your use of the Platform is also governed by our Privacy Policy, incorporated herein by reference. We collect personal data including name, email, phone, business information, payment information, location, device data, behavioral and usage data, and all content you submit.

We use this data to provide, improve, and market the Platform. We do not sell your personally identifiable contact information to third parties without your explicit consent.

We may use your data for targeted advertising, personalization, business analytics, AI development, and Platform improvement, and may share anonymized or aggregated data with business partners, investors, and third parties without restriction.

This does not apply to material we handle on behalf of a client company. Where a company gives one of our assistants access to its own documents, records or reports, that material is used only to answer questions for people that company has authorised. It is never used for advertising or personalization, never used to train or fine-tune any AI model, and never shared with business partners, investors or any third party, in aggregate or otherwise. It is not ours and we do not treat it as ours.

3. Information We Collect

We collect the following types of information:

• Account information — your name and email address
• Google Calendar data — read-only access to fetch your upcoming meetings
• CRM integration data — your GoHighLevel (GHL) API key, stored encrypted
• SMS phone number — used to deliver coaching messages
• Gmail send permission — if you connect Google, permission to send email from your Gmail, used only to send outreach emails you approved. We never read, store or scan your inbox
• Your Google email address — to show you which Google account is connected
• Contacts and sales history — the people you add or import, and what you log about them: names, companies, titles, emails, phone numbers, LinkedIn links, notes, stages, follow-ups and conversation history
• Your business details — offers, ideal client, voice, corporate profile and business mailing address (required by law at the bottom of outreach emails)
• Texts and files — the texts and files you send to and receive from Roxi, your SALES ROCKS™ assistant, and what you ask her to remember
• Email results — whether an outreach email was opened or clicked, and bounces and complaints, so we can alert you to interested prospects and stop emailing anyone who doesn't want it
• Usage and activity data — interactions with the platform to improve your experience

Assistants inside ChatGPT

When you use one of our assistants inside ChatGPT, we collect two things. Your email address — you give it to us when you sign in, and it is how the assistant knows which company you belong to and what you are allowed to see. And a record of your requests — each time the assistant fetches something, we record who asked, when, and what was returned. We record the request, not the conversation. Your conversation with the assistant is handled by OpenAI inside ChatGPT, under their own privacy policy. We do not control it and we cannot see it.

4. How We Use Your Information

We use your information to:

• Deliver meeting preparation briefs
• Conduct LinkedIn prospect research
• Send SMS coaching messages
• Provide activity tracking and reporting
• Write outreach emails and send them from your own Gmail or email domain, only after you approve them (or after you switch on daily automatic outreach, which shows you each day's example first)
• Text you meeting briefs before meetings and ask how they went
• For company sales teams: show managers each rep's pipeline counts, follow-ups due and hot leads. Managers don't see reps' contact notes or conversations

5. Google API Data

Game Changers AI uses two Google permissions. Google Calendar fetches your upcoming events so we can text you a meeting brief and ask how the meeting went, and, on meetings you set up, adds a short "who's in this meeting" note to the event; we only add to it and never change or delete anything already there. Gmail (send only) sends outreach emails you have approved, from your own Gmail, so replies come to you; we never read your inbox. We do not use Google user data for advertising, do not sell it, and do not transfer it except as needed to provide these features, to comply with law, or as part of a merger or sale with notice to you. No person reads your Google data unless you ask us to for support, it's needed for security, or the law requires it. You can disconnect at any time at myaccount.google.com → Security → Third-party connections.

Google Calendar data is never used for AI model training or fine-tuning. It is used solely to generate your meeting preparation briefs and is not retained beyond what is necessary for that purpose. Game Changers AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. The use of raw or derived user data received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

Google user data and AI. When Calendar data is needed to write your meeting prep, morning list or meeting note, it is processed only by Anthropic's Claude through Anthropic's commercial API, whose terms do not allow Anthropic to use it to train AI models. No Google user data, raw or derived, is used to create, train or improve any AI or machine-learning model, ours or anyone else's.

6. Data Sharing

We share data with the following service providers as necessary to operate the service: Amazon Web Services (infrastructure, email delivery via SES, and text messages), Anthropic (AI generation), OpenAI (embeddings for knowledge retrieval), Notion (client content storage), Stripe (payment processing), Exa (prospect research), Tavily (web search), Nous Research (AI generation), Supabase (database), Twilio (text messages), Google (Calendar and Gmail, when you connect them). All providers are contractually bound to protect your data.

Text Messages (SMS)

We text you only after you ask for texts and reply YES. We use your mobile number only to send you Game Changers® SALES ROCKS™ texts and to read the texts and files you send us. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop, START to resume, HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties. This applies notwithstanding anything else in this policy, including section 2. The only companies that handle your mobile number are the ones that deliver the texts (Amazon Web Services and Twilio), and only to deliver them.

Your Choices

• Texts — reply STOP to stop all texts, START to resume.
• Emails to prospects — every outreach email has a one-click stop link; anyone who uses it is never emailed again.
• Google — disconnect any time, as above.
• Settings and alerts — change or switch off any of them by asking your AI or texting Roxi.

7. Data Retention

We keep your information while your membership is active and afterward, because your contacts and conversations are the record of your sales work. Contacts you remove are archived, not deleted. You can ask for a copy of your information at any time, and you can ask us to delete it by emailing support@gamechangersai.com; we will delete it, except anything we need to keep for legal, security or record-keeping reasons. When you disconnect Google, we stop using your Google access.

8. Security

We use TLS encryption for all data in transit. Data is stored on infrastructure that uses disk-level encryption at rest (AWS RDS). Access to production systems is restricted to authorized personnel.
